The Village of Evendale
Special Council Meeting
October 4, 2005


The Village of Evendale held a Special Council Meeting at 6:00 on October 4, 2005. The meeting was called to order by Vice-Mayor Catherine Hartman. Upon roll call, the following members were present: Mr. Jeff Albrinck, Mr. Chris Schaefer, Mrs. Carolyn Smiley-Robertson, Mrs. Catherine Hartman, and Mr. Stiney Vonderhaar and Mr. Bill Puthoff. Also present were:  Assistant to the Mayor, Jack Cameron; Economic Director, Linda Fitzgerald and Doug Lohmeier, Dick Schaffer, Planning Commission; Susan Van Amerongen, Planning Commission, and John Perazzo, CIC.

Council members interviewed two candidates for the Branding Team. The Branding Strategy candidates interviewed were Dan Pinger Public Relations, Inc and Marketing Developments. Linda Fitzgerald said that once the Branding team is selected that it would take four to six months depending on the detail of the project.  

Mr. Greg Hughes, Plattenburg & Associates presented the Audit Report for 2003 & 2004. Mr. Hughes presented the auditor’s report on Internal Control over Financial Reporting. The Village was in compliance in all areas except for one. The one instance of non-compliance was with #2003-001 in the It stated that Ohio Revised Code states total appropriation from each fund shall not exceed the total estimated revenue. December 31, 2003 appropriations exceeded estimated resources in the Capital Improvement and Debt Service Funds. Mr. Hughes stated that it was just an oversight in filing the paper work. The Village plans to monitor appropriations and receipts and obtain amended certificates of estimated resources as needed. He also stated that financial statements are fairly presented. It will be sent to the state auditor’s office for approval.

Other items included TIF finance discussion. Jack Cameron stated that Princeton Board of Education had agreed to a 33% share for the TIF financing structure. Mr. Cameron said the Village would receive $9 million dollars over thirty years as a result of TIF financing. Legislation with the Princeton School Board and Anchor will be forthcoming.  Jack stated that there would be a summary of the TIF financing in the council packets this month.

Council discussed and ranked the companies that were interviewed for the Branding Strategy teams. Since there was a split between two firms it was determined that they would bring back the two companies with the highest ratings for more discussions.

With no further business to go before Council a motion was made to adjourn by Mr. Puthoff seconded by Mr. Vonderhaar and unanimously approved on roll call. Council adjourned at 9:30 pm.
